Oblix
The Accountancy Operating System

One system for the whole practice — so nothing slips and nothing's chased twice

Oblix replaces the spreadsheets, the deadline trackers and the "did anyone chase that?" conversations. Clients, jobs, statutory deadlines, client communications and chargeable hours all live on one Kanban board, deadline dashboard and aged-debtor view — built for UK practice.

Oblix is the accountancy operating system: a single platform for UK accountancy practices that unifies clients, jobs, statutory deadlines, client communications and chargeable hours, with AI handling the administrative work, and integrates with Companies House and QuickBooks.

  • Runs every job on a drag-and-drop Kanban board (the default home screen), with a validated status workflow from queued through to filed and a sortable list view as an alternative
  • Tracks UK statutory deadlines — Companies House accounts and CS01, Corporation Tax, VAT, PAYE, CIS and Self Assessment — and classifies each into five urgency tiers automatically
  • Syncs each client's Companies House record (status, officers, PSCs, filing history and the next accounts and confirmation-statement dates) and turns the statutory dates into deadlines and jobs
  • Connects to QuickBooks Online to pull customers, invoices and credit notes and drive a live aged-debtor dashboard
  • Captures chargeable time automatically with a desktop Companion app and an AI attribution engine, then drafts time entries for staff to confirm
  • Logs client communications against the client — read-only Microsoft 365 email, two-way WhatsApp, phone notes and post — so the right history is in one place
  • Detects who needs chasing, pre-drafts the reminder, and lets a person review and send it; Oblix never sends or posts on its own
  • Gives payroll, VAT, CIS and company-secretarial teams their own department boards, with a reviewer sign-off step on every job
  • Drafts collection letters and statements as downloadable PDF or DOCX for you to review and send through your own channel
  • Records sensitive actions to an audit trail and encrypts third-party credentials with AES-256-GCM before storing them

The problem: the practice runs on spreadsheets and memory

Most practices keep their real operating system in a dozen places at once — a deadline tracker in Excel, jobs in someone's head, client emails scattered across inboxes, debtors in QuickBooks and chargeable time written up from memory on a Friday. Nothing talks to anything else. So work slips, the same client gets chased twice, and the only way a partner finds out a filing is late is when it already is. The honest test most practices fail: a manager has to open a spreadsheet to answer a simple question about a client, a job, a deadline or someone's time.

The outcome: nothing slips, nothing's chased twice, nothing lives in a spreadsheet

Oblix gives the whole practice one place to work. Fee-earners open to a single Kanban board showing exactly what is on their plate. The practice manager has a deadline dashboard where every statutory date is colour-coded by urgency and a chase queue that already knows who needs chasing. The partner gets visibility of jobs, deadlines and aged debt without asking anyone. Because everything is connected, a job, its deadline, its client's communications and the time booked against it are all the same record — not five copies that disagree.

How Oblix delivers it

Oblix is one native system built for UK practice, not a stack of point tools bolted together. It pulls the facts in, derives the work, and keeps it moving.

It pulls your client facts in

Connect Companies House and QuickBooks Online. Oblix syncs company status, officers, PSCs, filing history, the next accounts and confirmation-statement dates, and your customers, invoices and outstanding balances once those accounts are connected.

It derives the deadlines and the jobs

From each client's facts — year end, VAT scheme, payroll frequency, CIS status — Oblix derives the statutory deadlines (accounts, CS01, CT, VAT, PAYE, CIS, Self Assessment) for the services you have enabled, classifies each by urgency, and creates the matching jobs from templates.

It runs the work on a board

Every job lives on a drag-and-drop Kanban board with a validated workflow: queued, in progress, in review, ready to file, filed, done. A reviewer signs each job off or returns it for amendments, and every move is recorded.

It captures the chargeable time

A desktop Companion app records foreground activity and periodic screenshots, excludes idle time, and an AI engine attributes the work to the right client and job — arriving as draft time entries each person confirms on a daily timesheet page.

It keeps communications and chasing in one place

Client email (read-only Microsoft 365), WhatsApp, phone notes and post are logged against the client. Oblix detects who needs chasing and pre-drafts the reminder — a person reviews and clicks send. Oblix never sends or posts on its own.

Built for UK accountancy practices of 3 to 50 staff

Oblix is written for three readers in the same firm. The partner or principal gets visibility, profitability and risk in one view. The practice or office manager gets deadlines, allocation and chasing handled in one place. The fee-earner gets less admin and a clear queue. It speaks the practice's own language — clients, jobs, chargeable hours — and is designed so anyone in the firm can use it on day one without training.

What it gives the practice.

Kanban job board as the default dashboard, with a validated job status workflow

Every fee-earner opens to one clear queue and jobs can only move through valid steps — work doesn't get lost between people.

Five urgency tiers (Overdue, Critical, Urgent, Approaching, Distant) applied to every UK statutory deadline

The partner and practice manager see at a glance what is overdue and what is due next — no spreadsheet, no missed filing.

Companies House sync that derives accounts and confirmation-statement dates and creates the matching jobs

New deadlines and jobs appear without anyone keying them in, and client records stay in step with the register.

Automatic chargeable-time capture with AI attribution and a daily timesheet review page

Time is recorded as it happens and arrives as draft entries to confirm — far less time lost to writing up timesheets.

Aged-debtor dashboard fed from QuickBooks with a detect-and-draft chase workflow

Managers see exactly who owes what and how old it is, and chasing is one reviewed click rather than a memory exercise.

Client communications logged against the client, with a reviewer sign-off step on every job

Whoever picks up a client can see the WhatsApp, phone and post history, and no job leaves the practice unchecked.

Questions practices ask

Is Oblix UK-specific?

Yes. Oblix is built specifically for UK accountancy practices and the UK statutory regime. It tracks UK deadlines including Companies House annual accounts and the confirmation statement (CS01), Corporation Tax, VAT returns, PAYE/RTI, CIS returns and Self Assessment, and it syncs directly with Companies House. The whole product uses UK practice language — clients, jobs, chargeable hours — and British English throughout.

Does Oblix connect to Companies House?

Yes. Oblix syncs each client's Companies House record — company status, registered office, SIC codes, officers, PSCs, filing history and the next accounts and confirmation-statement dates — and turns those statutory dates into tracked deadlines and jobs automatically. The connection is read-only ingest: Oblix reads the register and creates the work, but it does not file accounts or confirmation statements at Companies House on your behalf.

Can Oblix replace our spreadsheets?

Yes — replacing spreadsheets is the point of Oblix. Deadline trackers, job lists, aged-debtor reports and time records all live in the system instead of in Excel, and they stay in step because they are the same connected records rather than separate copies. The design goal is that no manager should ever have to open a spreadsheet to check anything about a client, a job, a deadline or a person's time.

How does Oblix track chargeable time?

Oblix captures chargeable time automatically through a desktop Companion app that records which application and window is in the foreground and takes periodic screenshots, excluding idle stretches. An AI attribution engine then matches that activity to the right client and job and produces draft time entries with a billable split. Those drafts are not billed automatically — each person reviews, edits and confirms them on a daily timesheet page.

Is our data secure?

Oblix runs as a self-hosted Docker stack on your own VPS, and in production all traffic enters through a Cloudflare Tunnel so the server exposes no public ports. Third-party credentials such as QuickBooks and Microsoft 365 tokens are encrypted with AES-256-GCM before they are stored, and sensitive actions across the system are written to an audit trail recording who did what and when. Email is connected read-only, and only a short preview of each message is stored, never the full body.
