How Rose handles a message
Rose follows a fixed path on every inbound WhatsApp message, and never improvises past it.
Greet and identify
Rose acknowledges the message and works out who is writing. An unknown or unverified sender is held in vetting mode with no access to any account data — it gathers what is needed to identify them and routes onward rather than guessing.
Answer only what is safe
For a verified contact, Rose answers basic public account questions. Sensitive items — UTRs, fees, payroll, bank details — are always deferred to a person. Rose never sends a document or PDF to a client.
Collect documents
When the practice is waiting on records, Rose asks for them and captures what the client sends straight onto their file in Oblix, so the chase closes itself without a fee-earner copying anything across.
Draft, never send, an invoice
Rose can prepare an invoice draft from a request, but it goes to a staff member to approve. The client receives text from Rose, not a finished invoice — a person stays in control of what is billed.
Route and stand down
Anything outside its remit is passed to the right team member with the thread's context. The moment a human replies on that conversation, Rose steps back and stays out of the way.
On only when you choose, with a person always in charge
Rose ships switched off. Turning it on is a deliberate practice setting, and it needs your WhatsApp Business connection and AI configured first. It works on the WhatsApp channel only — not email, not phone. Within that channel it is deliberately cautious: unverified senders get no account data, sensitive details are always handed to a human, it never sends documents to clients, and it stands down as soon as one of your team takes the thread. You decide how much it does, and a person signs off anything that matters.
