Oblix credit control is an aged-debtor dashboard and chase workflow for UK accountancy practices. It pulls customers, invoices and balances from QuickBooks Online, sorts every debtor into current / 1-30 / 31-90 / 91+ ageing buckets with a per-client breakdown, and lets a manager chase from the same screen — a pre-filled email or WhatsApp reminder, a logged call, or a chase note. You can't chase what you can't see

Most practices run credit control from a QuickBooks ageing report and a memory of who said they would pay last week. The partner asks how much is outstanding and nobody can answer to the pound. The manager doesn't know whether Acme was chased on Tuesday or whether it slipped. The 91-day debts hide at the bottom of a list nobody re-sorts. Money that should be in the bank sits in a report instead.

Oblix gives owners and managers a single aged-debtor dashboard fed from QuickBooks. You see the practice's matched receivables split into four ageing buckets, every client's breakdown across those buckets, and the oldest debts pushed to the top. When a debtor needs chasing, you do it from its row — a reminder email or WhatsApp message opens pre-filled, or you log the call you have just made. Nothing lives in a spreadsheet and nothing gets chased twice.

Connect QuickBooks via OAuth and Oblix pulls customers, invoices, sales receipts and credit notes, matches each QuickBooks customer to the right Oblix client, and keeps outstanding balances up to date — including invoices voided upstream. Customers it can't match confidently wait in a review queue rather than being guessed.

Debtors land in current / 1-30 / 31-90 / 91+ buckets with a headline total, a per-client breakdown, oldest-debt-first sorting and an invoice count, so a partner can answer 'how much is outstanding?' to the pound.

Chase from the row

Open any debtor's row to send a payment reminder by email or WhatsApp (the composer opens pre-filled), log a call, add a chase note, or open the customer in QuickBooks. You review and click Send — Oblix never sends on its own.

Draft a letter when chasing isn't enough

Generate a statement of account or a Pre-Action Protocol letter as a downloadable PDF or DOCX. You review, edit, sign and send it through your own channel — Oblix never posts collection letters.

Keep the figure honest

If a QuickBooks customer with an open balance isn't yet linked to an Oblix client, a banner shows how much sits outside the matched total and links you straight to the match-review queue to close the gap.

Letters are drafted, never sent

Oblix drafts a Pre-Action Protocol letter and a statement of account and hands them to you as a PDF or DOCX download. It does not email, post or transmit any collection correspondence on its own — that is a hard product rule. The same applies to reminders: a person reviews the pre-filled message and clicks Send. The system only ever detects, drafts and queues; a human decides.

Where do the debtor figures come from?

They come from QuickBooks Online, which Oblix connects to via OAuth. Oblix pulls customers, invoices, sales receipts and credit notes, matches each QuickBooks customer to your Oblix client, and keeps outstanding balances in step, including invoices voided upstream. The dashboard is empty until QuickBooks is connected and synced, and the headline total reflects only QuickBooks customers that have been matched to a client.

Does Oblix send chase emails or post collection letters automatically?

No — Oblix never sends or posts anything on its own. Reminders open in a composer pre-filled with a gentle nudge, and a person reviews and clicks Send by email or WhatsApp. The Pre-Action Protocol letter and statement of account are generated as downloadable PDF or DOCX files for you to review, sign and send through your own channel; drafting-only is a hard product rule.

How are the ageing buckets calculated?

Every outstanding invoice is bucketed by how far past its due date it is: current (not yet overdue), 1-30 days, 31-90 days and 91+ days overdue. Oblix shows a headline total for the practice plus a per-client breakdown across the same four buckets, with debtors sorted oldest-debt-first. The per-client breakdown reconciles exactly with the headline ageing totals.

Who in the practice can see the collections dashboard?

Only owners, directors and managers can see it. The collections and aged-debtor surface is restricted to those roles; employees are redirected away and the sidebar link is hidden from them. This keeps who-owes-the-practice-money visible to the people responsible for credit control, not the whole practice.

What if a QuickBooks customer hasn't been matched to a client yet?

Oblix shows a banner telling you how much sits outside the matched total and how many customers are waiting. Low-confidence or unmatched QuickBooks customers sit in a review queue, and their balances are excluded from the headline receivables figure until you confirm the match. One click from the banner takes you to the match-review queue to close the gap.
