You cannot see where the work actually is

Half the practice tracks jobs in a spreadsheet, the other half in their heads. Nobody can say at a glance how many sets of accounts are sitting in review, which returns are still queued, or whose work is stuck waiting on a partner. The practice manager rebuilds the same status picture every Monday, and a fee-earner opening their day has to go hunting for what is theirs. Work slips because it falls between the cracks of three different trackers.

How the board works

The board is the same Kanban view for everyone, built on a fixed set of columns that match the job status workflow. You move work by dragging cards, and Oblix keeps the board honest by only allowing valid moves.

Columns map to job status

The board shows five columns, left to right: Queued, In progress, In review, Amendments needed and Ready to file. They map directly to the job status, so the column a card sits in is the truth about that job. Filed and completed work drops off the board to keep it focused; you see it in the sortable list view.

Drag to progress a job

Move a job on by dragging its card to the next column. The board updates straight away and the change is saved against the job, so the whole practice sees the new status.

Only valid moves are allowed

Jobs follow a defined workflow — Not started, In progress, In review, Ready to file, Filed and Complete, plus On hold, Amendments needed and Cancelled. Oblix only permits valid moves, and a job cannot enter review without a reviewer assigned, so the board cannot be dragged into an impossible state.

Filter to what matters now

Switch between your jobs and all jobs, and filter by urgency and by job type. A fee-earner narrows to their own queue; a manager looks across the whole team and pulls the urgent work to the front.

List view when you prefer a table

Toggle to a sortable list view as an alternative to the board — useful for working through filed and completed jobs, or for anyone who would rather scan a table than a set of columns.

Boards for payroll, VAT, CIS and company secretarial

Specialist teams get their own department workstream boards. Payroll, VAT, CIS and company-secretarial (CS01) work each runs on a stage-based board, with each specialist locked to their own board and partners and managers able to see all of them. For routine recurring work, a firm can switch a specialist department into auto-pass, letting staff move a job straight from queue to done in one step without a reviewer, while any department left out keeps its normal review step. Auto-pass applies only to those specialist departments, never to accounts, tax or advisory jobs.

Built-in review and sign-off

When a job reaches In review, only the assigned reviewer can act on it. They work through per-task notes and either approve the job or return it for amendments with an overall note, and the person who did the work is notified in-app and by email either way. Every decision is recorded, so there is a clear trail of who signed off what and when. Reviewers cannot be set to review their own work.

What columns does the job board have?

The board has five columns, left to right: Queued, In progress, In review, Amendments needed and Ready to file. Can I customise the board columns for my practice?

No — the columns are a fixed set that maps to Oblix's job status workflow, and the workflow itself is not editable per firm. This is deliberate: because every practice's board uses the same statuses, the column a job sits in always means the same thing, and the system can guarantee only valid moves. You can tailor what you see by filtering to your jobs, by urgency and by job type, and specialist teams get their own department boards.

How does a fee-earner see only their own jobs?

Switch the board filter from all jobs to mine, and it narrows to the jobs assigned to you. You can layer urgency and job-type filters on top to focus the queue further. A practice manager uses the same filters in reverse — viewing all jobs and sorting by urgency — to see across the whole team.

Do payroll, VAT and CIS teams get their own boards?

Yes. Payroll, VAT, CIS and company-secretarial teams each get their own department workstream board, and each specialist is locked to their own board while partners and managers can see all of them.
